Smartsheet

Project & work management

Turn requests and orders into Smartsheet work, and keep status in step across your tools.

31 ways to read, 12 ways to write, each write switched on by you.

Smartsheet with Nexra

Connected, approved, proven.

The things teams do most with Smartsheet, an example flow with a person in the loop, and what Nexra keeps as proof.

Top actions

  • Attach link to rowApproval by rule
  • Add columnApproval by rule
  • List report rowsRead

Example flow

  1. Smartsheet · List report rowsDone
  2. Smartsheet · Attach link to rowNeeds approval
  3. Nexra · Record the decision and result in the evidence chainProven

Example workflow. Routine runs go through on their own. Only a change your rules flag, such as one over a limit you set, waits for the right person, who sees the exact change and the rule before it reaches Smartsheet.

What gets logged

  • Whether it ran on its own or who approved it, and under which rule
  • A fingerprint of the exact request sent to Smartsheet
  • Smartsheet's reply: what it created or changed
  • One entry in the evidence chain, linked to the one before

Try this in the sandbox

Run the whole flow with test data in your sandbox, then connect your own account when you are ready to go live.

For developers

Technical detail

Access and limits

Authentication
Smartsheet API access token
Plans and access
Smartsheet Business and Enterprise plans (the API is restricted to these plans). Access follows the sharing permissions of the user who owns the access token.
Test environment
Use a Smartsheet trial or a developer account; there is no separate sandbox host.
Rate limits
300 requests per minute per token; file attachments and cell history count 10x. HTTP 429 on excess.
Pagination
page/pageSize with totalPages for sheets, columns, discussions, attachments, cell history, webhooks, groups and users; sheet and report rows page by totalRowCount; workspaces, folder contents and dashboards use maxItems/lastKey tokens.
Provider events
Smartsheet webhooks with callback verification and HMAC signatures. Flows run on demand, on a schedule, or when a scheduled check finds new or changed records.

Before you build a flow

  • Row writes take column IDs. Reads return cells keyed by column title as well as by column ID; map titles to IDs with List columns.
  • Smartsheet Gov (api.smartsheetgov.com) is not offered.
  • Attachment metadata is read and URL attachments can be added; file uploads and downloads are not transferred.
  • Smartsheet has no idempotency key; uncertain row additions are not repeated automatically.
  • Deletes of any kind, sharing, automation rules, update requests, proofs, publishing, copy and move are not implemented (intentional exclusions).
  • Attachment reads return metadata only; Smartsheet's temporary download URL is never returned.
  • Webhooks are read-only and their shared secrets are never returned; creating, enabling or resetting webhooks is not implemented.
  • Cell history calls count as 10 requests against the 300-per-minute limit.
  • Report rows map cells by virtual column ID onto report column titles; report rows cannot be written (write to the source sheet).
  • The reports list endpoint is documented without paging parameters, so it is read as one page. Global search returns at most 100 results.
  • Users and groups lists, and user reads, need a system administrator token; members are returned on Get group only.
